Work with Files

Files in Stages can be very useful when working with guidance and work products. When on a work product page, the specific documentation that needs to be completed can be right in the folder with the job. Files in the guidance folder help the user understand the process in a deeper sense. On the specific work product or guidance page, there is a file section where you can add, download, upload, etc.

Add File

You can add files by either clicking the “Add File” button or by the “+” sign on the right hand side of the files section.

  • To upload new files, click the blue “Upload files” button. From here you can either drag and drop files into the dropbox or browse and upload.
  • To link existing files, click the blue “Link files” button. From here you can enter a file path. (Might need to talk more about this.)
  • To add a URL, click the blue “Add URL” button. From here you name the link and insert the URL in the specific box.

File Download

There are multiple different ways to download files in Stages. To download the file directly, click on the file name and it downloads. Another way to download the file is to click the three dots beside the file and click “Download and Lock”.

Lock

Locking a file makes it not be able to be edited by anybody else. If you lock the file, you are the only user that can unlock it.

Unlock

To unlock a file, click the three dots and select “Unlock”.

File Upload

There are multiple different ways to upload files to Stages. If you have the file readily available, drag the file and drop it in the dropbox in the file section. You can do this on the main screen or after you click the three dots and click “Upload”. You can also click “Browse” to search for a file. If you drop a file in the dropbox, it is automatically uploaded. If you click the three dots to upload a file, you can add a comment and it is uploaded after you click Save.

Set State

To set the state of the file, click the three dots beside the file of interest. Click “Set State”. On the pop-up menu, you can select the state of the file and add a comment. To confirm the set state, click “Set State”.

Version History

All of the version histories are stored in Stages. To see all versions of the file, click the three dots to the right of the file and click “Version History”. From here you can see all versions and expand details of each.

If you wish to restore an older version, download desired version and upload it back into the system. Once uploaded, the system checks in and locks the new version.

Rename

To rename a file name, click the three dots to the right of the file. Click “Rename” and type in the new name of the file and hit enter/return to finalize the name change.
